Getting started

What is Cleartrill?

An AI assistant that answers your business calls when you can't, and, with the Android app, your texts and WhatsApp too. It says it's an AI assistant, takes the message, answers from the prices and answers you approve, and books appointments. You see everything in the app, and a report reaches your email as often as you choose.

How do I start?

Sign up at cleartrill.ai with your email: no password, no card. Answer three questions (what you do, your business, how your assistant sounds). Then, in the app: "Set up my line" with your business number (Cleartrill gives you your own Cleartrill number), "Turn on forwarding" and "Test my line".

How long does setup take?

About ten minutes: three questions, your business number, two taps to forward your calls and one test call. Prices, answers and the voice can be fine-tuned later, while your line is already answering.

Do I keep my number?

Yes. Customers keep calling your usual number. Your phone company forwards the calls you choose (the ones you miss, or all of them) to your Cleartrill number, where your assistant answers. Your number stays with your phone company, and you can turn forwarding off whenever you like.

Does it work on iPhone and Android?

Yes for calls: forwarding works through your phone company on iPhone and Android alike, and the web app at cleartrill.ai/app works on both and on computers. The Android app, which also answers the texts and WhatsApp on your own phone, is on Google Play by invitation for now. An iPhone app is in the works.

Does the app need to stay open?

No. Calls reach Cleartrill through forwarding, app or no app. For texts and WhatsApp on your phone, the Android app works in the background once you tap "Allow on this phone"; keep the phone on and online. If replies stop, set Cleartrill's battery use to Unrestricted in your phone's settings.

Who is Cleartrill for?

Anyone whose phone rings while they work: plumbers, HVAC technicians, electricians, contractors, realtors, consultants, salons and more. You pick your profession when you sign up, and some professions add their own safety rules; a plumber's assistant, for example, tells anyone who smells gas to get out and call 911 first. Clinics and other health practices can join the waitlist for now.

Your number and forwarding

How does call forwarding work?

Your phone company sends calls to your Cleartrill number when you don't pick up (or always, if you choose). On Android, "Turn on forwarding" dials the code for you; on iPhone it copies the code: open Phone, paste it, press call, come back. Your phone company confirms on screen. Then "Test my line": Cleartrill calls your phone, you let it ring, and the app says "It's connected."

Can my phone ring first, and Cleartrill answer if I don't?

Yes, that's the default, "After my phone rings". Your phone company decides how long it rings, and the test tells you. To choose the rings yourself (up to 6), pick them in Coverage, then tap "with my ring timer" under "It did not work?". Also in Coverage: "Always, right away" (your phone stays quiet), "Only outside my hours" and "Off".

What if I'm on another call, or my phone is off?

Cleartrill can cover those too: open "It did not work?", tap "busy and out of reach too", then test again.

What do All on and "Cover me" do?

All on lets Cleartrill handle every call and message that reaches it, right now, without touching your saved settings; switch it off and your usual choices come back. "Cover me" does the same for a set time (one hour, until 6 pm, all day, this weekend, or up to 14 days) and ends on its own, even with the app closed.

What about my family and friends?

Add them to "Your people". For each one, choose whether Cleartrill takes a short personal message (no booking, no business talk) or stays out and ends the call. They never get automatic texts or WhatsApp replies. When your phone rings first they reach you as usual; with "Always, right away" their calls go to Cleartrill too, since your phone doesn't ring.

How do I pause Cleartrill?

Tap "Pause" on Today, or choose "Off" in Coverage; your settings are kept. While forwarding is on, a call you miss still reaches Cleartrill and it takes a message. To stop that too, turn forwarding off.

How do I turn forwarding off?

Tap "Turn off forwarding" in the app, or dial ##002# yourself (on Verizon, *73): it clears all forwarding and your calls ring only your phone again. On some carriers that also clears voicemail; if your voicemail stops answering, your carrier can switch it back on.

Does it work with my phone company?

Most mobile carriers in Canada, the US and Mexico allow forwarding. If the first code doesn't take, open "It did not work?": it has the other forms carriers use, Verizon's included. Some plans charge for forwarded minutes; your carrier can confirm.

What happens to my voicemail?

Once forwarding works, calls you don't answer go to your assistant instead of voicemail. If the test call ends in your voicemail, forwarding isn't on yet: try the other codes under "It did not work?", or ask your carrier to send unanswered calls to your Cleartrill number instead of voicemail.

Which countries does it work in?

Canada, the United States and Mexico. Your Cleartrill number is a number in your country.

Can I use it with a landline or an office phone system?

Cleartrill is built and tested for mobile phones today. Many office and internet phone systems can forward to your Cleartrill number from their own settings; write to us and we'll check yours.

Calls

Will callers know it's an AI?

Yes. The opening line says it's an AI assistant and that the call is recorded: "Hi, this is Northgate Plumbing's AI assistant. This call is recorded so I can take your message. How can I help you?" You can write your own; if it leaves either fact out, Cleartrill adds it.

What does the assistant do on a call?

It finds out who is calling and what they need, answers from your approved prices and answers, books an appointment when your calendar is connected, and takes a message with name, best number and what it's about. One question at a time, short and polite.

What will it never do?

It never claims to be a person, never takes card or payment details, never asks for ID or account numbers, and never invents prices, times or policies. Some professions add their own safety rules.

What happens in an emergency?

If a caller describes danger (a fire, someone hurt, a gas smell, water near electricity), the assistant tells them to get safe and call 911 first, then flags the call to you. Cleartrill is not an emergency service.

How do I know a call needs me?

It's marked "Needs you" at the top of Notifications. Urgent ones (an emergency, a deadline, someone asking for you in person, a legal or media request) are also emailed to you at once, unless you turn that off in "Send reports".

Does Cleartrill text my callers?

Once texting is connected, yes: after calls of 5 seconds or more, your Cleartrill number sends one text saying it's your AI assistant and what happens next. To stop it, turn off "Text callers after a call" in Coverage.

Which languages does it speak?

English, Spanish and French; choose yours in "Voice and language". It answers each caller in the language they speak: English or Spanish on an English or Spanish line, and English, Spanish or French on a French line. The Spanish voices include Mexican Spanish that speaks to callers as usted or as tú; the French voices speak Quebec French.

Can I read or hear what was said?

Yes, for 90 days. Each call in Calls shows a summary, the next step, the full transcript and, when available, the recording. "Call back" and "Mark resolved" are right there.

Can it put a caller through to me?

Not yet. Cleartrill takes the message and, when it matters, flags it as urgent so you can call back right away.

What about hang-ups and robocalls?

A call that ends in under 5 seconds is listed as missed and never emailed on its own. Every other call is answered like any call, so you can see it and decide.

Can Cleartrill call my customers for me?

No. It answers the calls, texts and WhatsApp that come in. The only calls it makes are to you: test calls and the line check.

Texts and WhatsApp

Can Cleartrill answer my texts?

Yes, in the Android app. Tap "Allow on this phone", then choose in Coverage, under Texts: "Answer in the same chat" (from your own number), "Send them my Cleartrill number" (once texting is connected), or "Leave them for me".

Does it work with WhatsApp?

Yes, with the Android app; not on iPhone yet. It works with regular WhatsApp and WhatsApp Business: choose "Answer in WhatsApp" and it replies in the same chat, from your phone. If you miss a WhatsApp call, it can write to that person in the chat. It can't answer a WhatsApp call by voice: WhatsApp doesn't let apps pick up calls on your phone.

Can it ask me before it answers?

Yes. Choose "Ask me each time": your phone shows "Let Cleartrill answer?" with "This one" or "All day" (until midnight). The question goes away after 10 minutes if you don't answer it.

Will it answer texts from my family and friends?

On Android it answers private chats, never groups. To keep someone out, add them to "Your people", or choose "Ask me each time".

Can I change its first message?

Yes: "First text" and "First WhatsApp answer" in Coverage, up to 300 characters each. If your words don't say it's an AI assistant, Cleartrill adds that.

What if someone doesn't want messages?

When a person replies STOP (or ALTO), Cleartrill stops writing to them. You can still write to them from your own phone.

Can it understand photos or voice notes?

Not yet. It tells the person it can't open photos, files or voice notes and asks them to write it, or offers a call back.

Calendar and appointments

Can it book appointments?

Yes. With Google Calendar connected, it checks your free time and books into your calendar. Without a calendar, it takes the request with the time the customer wants, and you confirm it with them yourself. Microsoft and Apple calendars come later.

Where do I see what's booked?

In Calendar: the week, with a mark on days that have appointments, arrows to other weeks, and "Coming up", every appointment in the next 90 days. Tap one to open its day.

Can I add an appointment myself?

Yes: Calendar, "Add an appointment" (customer, service, date, time and length). Cleartrill checks it doesn't clash, and won't book anyone over it.

How do I move or cancel an appointment?

Not in the app yet. For now, contact the customer and change it in your Google Calendar; the app keeps showing the original time.

How does it know my hours?

From "Opens" and "Closes" in Settings, Monday to Friday, and from the busy times in your calendar. Weekends count as closed for now.

Your assistant and its voice

How do I teach it about my business?

In Your assistant: add your services with a starting price, and answers to the questions you get often. Add your website and tap "Review website information": Cleartrill suggests answers from it, and nothing is used until you approve it.

Will it quote prices?

Only the "starting at" prices you approve. Without approved prices it never says a number and takes a message instead.

Can I choose the voice?

Yes. In "Voice and language", pick an English, a Spanish (Mexican and Latin American) or a Quebec French voice, then hear it with a test call.

Can it speak in my own voice?

Yes, with Your Voice, where the app offers it: you sign your consent, read a short script twice (about a minute), and your assistant speaks in your voice. It still says it's an AI assistant. Revoke it any time and the copy of your voice is deleted.

Can I change what it says first on a call?

Yes: Your assistant, "Opening line", up to 400 characters. Callers always hear that it's an AI assistant and that the call is recorded: if your line leaves that out, Cleartrill adds it.

Notifications and reports

Where do I see what happened?

In Notifications: Calls, Texts and WhatsApp, each with the number of new items. What needs you sits on top, and the list updates by itself while the app is open.

How often will you email me?

You choose, in Notifications, "Send reports": Instant, Daily at 7 am (the default), Weekly, Configure (your days and hour) or Off. Anything urgent is emailed at once unless you turn that off. Every report has a link to change this.

What is "Potential value, est."?

An estimate from the starting prices you approved, for the appointments in that period. It isn't revenue.

Plans, trial and billing

How much does it cost?

Cleartrill is US$299 a month. With Your Voice, US$399 a month. For a team, write to us. Taxes show at checkout.

Can I pay in my own currency?

Prices are in US dollars today; your bank converts at its rate.

Is there a free trial?

Yes, with no card. Your plan screen shows the days you have left. Our first users get 30 days, up to 60 calls or 120 minutes; if you reach the calls or minutes first, calls stop even if days remain. Nothing is charged automatically when it ends.

Which calls count toward my trial?

Every call that reaches Cleartrill, even a hang-up. Test calls don't.

What happens when my trial ends?

Cleartrill stops answering your calls until you choose a plan; callers hear that the business can't take messages right now. Your Cleartrill number is kept for 7 days, then released. Turn off forwarding (##002#; on Verizon, *73) so your missed calls don't go to a number that is no longer yours.

How do I pay or cancel?

On cleartrill.ai: sign in at cleartrill.ai/app with the same email and open Your plan. It's monthly; cancel any time in the billing portal, and your plan runs to the end of the month you paid. Fees already paid aren't refunded, except where the law requires it.

Privacy and safety

Who can see my calls and messages?

You, signed in to your account. Our team gets a copy of each email Cleartrill sends you, or only a notice when the email carries your callers' information or a sign-in code. We use it to keep the service running. Our team looks at your calls and messages only to run and support the service. We don't sell your data or use your calls to train AI models.

Is it okay to record calls?

It depends on where you work and your profession. Cleartrill's opening line tells callers the call is recorded and that they're speaking with an AI assistant, before they say anything. If you're unsure about your rules, ask your advisor. This isn't legal advice.

How long are my calls and messages kept?

90 days. Then each call (its recording, transcript and summary) and each text and WhatsApp message is deleted, and so is the voice provider's copy of the call. To delete a call sooner, open it in Calls and tap "Delete this call".

How do I get or delete my data?

In Settings on the web app (cleartrill.ai/app), "Export my data" downloads your records. "Delete my account" (type DELETE) cancels your plan, releases your number and deletes at once your calls, messages, appointments, customers, settings and any copy of your voice; the voice provider's copies of your calls are deleted too. We keep the record that you accepted the terms (version, language and date), without your email. To delete one call, open it and tap "Delete this call".

Fix a problem

My test didn't work. What now?

Read what the app says. "Connected, but your phone did not ring": an old setting forwards every call, or your phone blocks the test call; tap "Clear old forwarding", then "Turn on forwarding". "Your line was busy": hang up any call and test again. "Not connected yet": forwarding isn't on; try the codes under "It did not work?".

A call or message isn't showing. Why?

Notifications refreshes every 20 seconds and each time you come back to the app. If it still isn't there after a minute, email our team with the time of the call or message and we'll trace it.

The assistant said something wrong.

Fix it at the source: prices and answers in Your assistant, hours in Settings, the first words in "Opening line". If it still sounds wrong, email our team with the time of the call; we read the transcript and fix it with you.

The call sounded slow or robotic.

Try another voice in "Voice and language" and hear it with a test call. Then email our team the time of the call so we can review it.

Your account and help

How do I sign in?

With your email: we send a 6-digit code that works once, for 15 minutes. There are no passwords. Nothing arrived? Check your spam folder.

I got a new phone or a new number.

Same number, new phone: forwarding stays with your phone company; sign in to the app with the same email. New number: open your line on Today, then "It did not work?", "Use a different business number", turn on forwarding from the new phone and test again.
