Getting started

What is Cleartrill?

An AI assistant that answers your business calls, texts and WhatsApp when you can't; texts and WhatsApp on your own phone run through the Android app today. It says it's an AI assistant, takes the message, answers from the prices and answers you approve, and books appointments. You see everything in the app, and a report reaches your email as often as you choose.

Open in the app

How do I start?

Sign up at cleartrill.ai with your email: no password, no card. Answer three questions (what you do, your business, how your assistant sounds). Then, in the app, tap "Connect my phone": give your business number (Cleartrill gives you your own Cleartrill number), do the one step it shows for your phone, then "Check it".

Open in the app

How long does setup take?

About ten minutes: three questions, your business number, one step on your phone (one tap on Android, a short code to paste on iPhone) and one test call. Prices, answers and the voice can be fine-tuned later, while your line is already answering.

Do I keep my number?

Yes. Customers keep calling the number they already know. Your carrier forwards calls to your Cleartrill number. Your original number stays with your carrier, and you can turn forwarding off.

Does it work on iPhone and Android?

Yes for calls: forwarding works through your phone company on iPhone and Android alike, and the web app at cleartrill.ai/app works on both and on computers. The Android app is on Google Play and the iPhone app on the App Store. Texts and WhatsApp on your own phone run through the Android app today.

Does the app need to stay open?

No. Calls reach Cleartrill through forwarding, app or no app. For texts and WhatsApp on your phone, the Android app works in the background once you tap "Allow on this phone"; keep the phone on and online. If replies stop, set Cleartrill's battery use to Unrestricted in your phone's settings.

Who is Cleartrill for?

Anyone whose phone rings while they work: plumbers, HVAC technicians, electricians, contractors, realtors, consultants, salons and more. You pick your profession when you sign up, and some professions add their own safety rules; a plumber's assistant, for example, tells anyone who smells gas to get out and call 911 first. Clinics and other health practices can join the waitlist for now.

Your number and forwarding

How does call forwarding work?

Your phone company sends calls to your Cleartrill number when you don't pick up after one ring (or always, if you choose). In the app, tap "Connect my phone". On Android, one tap opens your phone with everything filled in: press the green call button. On iPhone, tap "Copy", paste the code in the Phone app's keypad and press the green call button. On a computer, point your phone's camera at the QR code and finish on the phone. Your phone company confirms on screen. Back in the app, the check calls your phone (don't answer) and, in about 15 seconds, says "All set."

Open in the app

Can my phone ring first?

Yes. You can let your phone ring before Cleartrill answers, or choose to forward calls straight away. Available forwarding options and ring settings depend on your carrier.

Open in the app

What if I'm on another call, or my phone is off?

Cleartrill can cover those too: in the app, open "Other ways" and use "Busy and out of reach too" (on Android, tap it; on iPhone, tap "Copy" and paste it in the Phone app's keypad), then "Check it".

Open in the app

What do All on and "Cover me" do?

All on lets Cleartrill handle every call and message that reaches it, right now, without touching your saved settings; switch it off and your usual choices come back. "Cover me" does the same for a set time (one hour, until 6 pm, all day, this weekend, or up to 14 days) and ends on its own, even with the app closed.

Open in the app

What happens when family or friends call?

Add them to Your people and choose how Cleartrill handles their calls: take a short personal message or end the call without a business conversation. If you forward every call straight to Cleartrill, their calls go there too. Your people does not bypass your carrier’s forwarding.

Open in the app

How do I pause Cleartrill?

Tap "Pause" on Today, or choose "Off" in Coverage; your settings are kept. While forwarding is on, a call you miss still reaches Cleartrill and it takes a message. To stop that too, turn forwarding off.

Open in the app

How do I turn forwarding off?

In the app, open "Other ways" and use "Turn off the old setting", or dial ##002# yourself (on Verizon, *73): it clears all forwarding and your calls ring only your phone again. If you turned on Call Forwarding in your iPhone's Settings, turn it off there too (Settings, then Apps, then Phone, then Call Forwarding). On some carriers ##002# also clears voicemail; if your voicemail stops answering, your carrier can switch it back on.

Open in the app

Does it work with my phone company?

Most mobile carriers in Canada, the US and Mexico allow forwarding. If the first way doesn't work, open "Other ways" in the app: it has the other forms carriers use, Verizon's included. Some plans don't include forwarding, or charge for forwarded minutes; your carrier can confirm.

Open in the app

What happens to my voicemail?

Once your phone is connected, calls you don't answer go to your assistant instead of voicemail: your phone rings once, then Cleartrill answers. If the check says your voicemail answered first, tap "Use 1 ring" and check again; if it still does, ask your phone company to turn off voicemail, or send every call to Cleartrill. On an iPhone, also turn off Live Voicemail.

Open in the app

Do I turn off Live Voicemail on my iPhone?

Yes, if your phone rings first. Live Voicemail, on by default since iOS 17, answers the calls you miss on the iPhone itself, before your phone company can send them to Cleartrill. Turn it off: Settings, then Apps, then Phone, then Live Voicemail. With "Always, right away" it doesn't matter.

Does my phone company charge for this?

It depends on your plan. Some include forwarding; some charge per minute for forwarded calls, or need an add-on. Ask your phone company before you connect.

My phone company doesn't offer forwarding.

Some prepaid plans don't. Give customers your Cleartrill number instead: it's in the app under "Other ways", with "Copy". Put it on your website, your cards and your listings; your assistant answers it.

Which countries does it work in?

Canada, the United States and Mexico. Your Cleartrill number is a number in your own country: Canadian in Canada, American in the United States, Mexican in Mexico.

Can I use it with a landline or an office phone system?

Yes. In Connect my phone, tick the box “Click here if you are connecting a landline”: the screen shows the code to dial from the handset (in Canada and the United States, *72 sends every call and *92 the calls you don't answer; in Mexico, Telmex calls it Sígueme: *21* sends every call and *61* the calls you don't answer). If the landline has voicemail, the voicemail answers before Cleartrill: ask your phone company to turn it off, or send every call. Office and internet phone systems forward from their own settings; write to us and we'll check yours.

Does it work with my phone?

Yes. iPhone and Android mobiles connect through your phone company's call forwarding, in Canada, the United States and Mexico. Landlines connect too: in the app, tap "Connect my phone", then "Landline"; if the landline has voicemail, ask your phone company to turn it off. Some phone companies charge for forwarding or need an add-on. For an office phone system, write to us first.

Calls

Will callers know it’s AI?

Yes. The introduction tells them they’re speaking with an AI assistant and that the call is recorded. Those disclosures also apply when you use Your Voice.

Open in the app

What does the assistant do on a call?

It finds out who is calling and what they need, answers from your approved prices and answers, books an appointment when your calendar is connected, and takes a message with name, best number and what it's about. One question at a time, short and polite.

What will it never do?

It never claims to be a person, never takes card or payment details and never asks for ID or account numbers. It answers from the information you approve; when it does not know, it takes a message. Some professions add their own safety rules.

What happens in an emergency?

If a caller describes danger (a fire, someone hurt, a gas smell, water near electricity), the assistant tells them to get safe and call 911 first, then flags the call to you. Cleartrill is not an emergency service.

How do I know a call needs me?

It's marked "Needs you" at the top of Notifications. Urgent ones (an emergency, a deadline, someone asking for you in person, a legal or media request) are also emailed to you at once, unless you turn that off in "Send reports".

Open in the app

Does Cleartrill text my callers?

Once texting is connected, yes: after calls of 5 seconds or more, your Cleartrill number sends one text saying it's your AI assistant and what happens next. To stop it, turn off "Text callers after a call" in Coverage.

Open in the app

Which languages does it speak?

English, Spanish and French; choose yours in "Voice and language". It answers each caller in the language they speak: English or Spanish on an English or Spanish line, and English, Spanish or French on a French line. The Spanish voices include Mexican Spanish that speaks to callers as usted or as tú; the French voices speak Quebec French.

Open in the app

Can I read or hear what was said?

Yes, for 90 days. Each call in Calls shows a summary, the next step, the full transcript and, when available, the recording. "Call back" and "Mark resolved" are right there.

Open in the app

Can it put a caller through to me?

Not yet. Cleartrill takes the message and, when it matters, flags it as urgent so you can call back right away.

What about hang-ups and robocalls?

A call that ends in under 5 seconds is listed as missed and never emailed on its own. Every other call is answered like any call, so you can see it and decide.

Open in the app

Can Cleartrill call my customers for me?

No. It answers the calls, texts and WhatsApp that come in. The only calls it makes are to you: test calls and the line check.

Is Cleartrill for emergencies or healthcare?

Cleartrill is not an emergency service. Anyone in immediate danger should contact local emergency services directly. Clinics and health practices are currently offered a waitlist, not an active receptionist.

Texts and WhatsApp

Can Cleartrill answer my texts?

Yes, on every plan, through the Android app today. Tap "Allow on this phone", then choose in Coverage, under Texts: "Answer in the same chat" (from your own number), "Send them my Cleartrill number" (once texting is connected), or "Leave them for me".

Open in the app

Does it work with WhatsApp?

Yes, on every plan, through the Android app today; the iPhone app is on its way. It works with regular WhatsApp and WhatsApp Business: choose "Answer in WhatsApp" and it replies in the same chat, from your phone. If you miss a WhatsApp call, it can write to that person in the chat. It can't answer a WhatsApp call by voice: WhatsApp doesn't let apps pick up calls on your phone.

Open in the app

Can it ask me before it answers?

Yes. Choose "Ask me each time": your phone shows "Let Cleartrill answer?" with "This one" or "All day" (until midnight). The question goes away after 10 minutes if you don't answer it.

Open in the app

Will it answer texts from my family and friends?

On Android it answers private chats, never groups. To keep someone out, add them to "Your people", or choose "Ask me each time".

Open in the app

Can I change its first message?

Yes: "First text" and "First WhatsApp answer" in Coverage, up to 300 characters each. If your words don't say it's an AI assistant, Cleartrill adds that.

Open in the app

What if someone doesn't want messages?

When a person replies STOP (or ALTO), Cleartrill stops writing to them. You can still write to them from your own phone.

Why do US businesses register to text?

US phone companies deliver business texts only from registered businesses. If your business is in the US and your assistant texts from your Cleartrill number, Cleartrill registers your business once, for a one-time US$49 paid before anything goes to the carriers, or included when your plan is paid a year ahead; if the carriers ask for a change, sending it again is included. Their review usually takes 3 to 10 business days; until then, texts from your Cleartrill number wait. A business in Canada doesn't need it. Replies from your own Android phone ("Answer in the same chat") need no registration, and calls are not affected.

Open in the app

Can it understand photos or voice notes?

Not yet. It tells the person it can't open photos, files or voice notes and asks them to write it, or offers a call back.

What can Cleartrill's texts include?

Links to cleartrill.ai only. A text to a number that hasn't called or texted your line in 30 days can't include a link or a phone number, and 10 such numbers a day can get one. Your line sends up to 50 texts a day on the trial, 300 on a plan. Codes and card numbers are taken out of automatic texts; your own replies go as you write them.

Can it answer the texts on my iPhone?

Not yet: the iPhone app is on its way. Texts and WhatsApp on your own phone run through the Android app today, with the required permissions and an internet connection. WhatsApp voice calls aren't included.

Calendar and appointments

Can it book appointments?

Yes, with a connected Google Calendar and an available appointment time. Bookings go to a calendar named Cleartrill, inside your Google Calendar. Without a connected calendar, Cleartrill collects the customer’s preferred time for you to confirm.

Open in the app

What can Cleartrill see in my Google Calendar?

Only when you're busy, so it never books over you. It never reads what your events say. It writes only to the calendar named Cleartrill that it made in your Google Calendar. To stop, open Calendar, tap Manage, then Disconnect; the Cleartrill calendar and its bookings stay in your Google Calendar.

Open in the app

Where do I see what's booked?

In Calendar: the week, with a mark on days that have appointments, arrows to other weeks, and "Coming up", every appointment in the next 90 days. Tap one to open its day.

Open in the app

Can I add an appointment myself?

Yes: Calendar, "Add an appointment" (customer, service, date, time and length). Cleartrill checks it doesn't clash, and won't book anyone over it.

Open in the app

How do I move or cancel an appointment?

Not in the app yet. For now, contact the customer and change it in your Google Calendar; the app keeps showing the original time.

How does it know my hours?

From "Opens" and "Closes" in Settings, Monday to Friday, and from the busy times in your calendar. Weekends count as closed for now.

Open in the app

Your assistant and its voice

How do I teach it about my business?

In Your assistant: add your services with a starting price, and answers to the questions you get often. Add your website and tap "Review website information": Cleartrill suggests answers from it, and nothing is used until you approve it.

Open in the app

Will it quote prices?

Only the "starting at" prices you approve. Without approved prices it never says a number and takes a message instead.

Open in the app

Can I choose the voice?

Yes. In "Voice and language", pick an English, a Spanish (Mexican and Latin American) or a Quebec French voice, then hear it with a test call.

Open in the app

Can it speak in my own voice?

Coming soon, with Your Voice, an add-on to any monthly plan: you sign your consent, read a short script twice (about a minute), and your assistant speaks in an AI version of your voice. It still says it's an AI assistant. Revoke your consent any time: Cleartrill stops using your voice and deletes the copy within seven days.

Open in the app

Can I change what it says first on a call?

Yes: Your assistant, "Opening line", up to 400 characters. Callers always hear that it's an AI assistant and that the call is recorded: if your line leaves that out, Cleartrill adds it.

Open in the app

What if it doesn’t know the answer?

Cleartrill takes the details so you can follow up. Keep your approved business information current and review requests that need your attention.

Notifications and reports

Where do I see what happened?

In Notifications: Calls, Texts and WhatsApp, each with the number of new items. What needs you sits on top, and the list updates by itself while the app is open.

Open in the app

How often will you email me?

You choose, in Notifications, "Send reports": Instant, Daily at 7 am (the default), Weekly, Configure (your days and hour) or Off. Anything urgent is emailed at once unless you turn that off. Every report has a link to change this.

Plans, trial and billing

How much does it cost?

Starter is US$39 a month (CA$49 in Canada), with 200 call minutes and 200 replies (a reply is one message to one person). Standard, the main plan, is US$89 (CA$119), with 500 minutes and 500 replies. Pro is US$149 (CA$199), with 1,000 minutes and 1,000 replies. Every plan answers calls, texts and WhatsApp, books appointments in your Google Calendar, and speaks English, French and Spanish. Paid a year ahead: US$390, US$890 or US$1,490 a year (CA$490, CA$1,190 or CA$1,990), two months free. Your Voice, coming soon, adds US$39 a month (CA$39) to any monthly plan. Teams, for several lines and people, starts at US$299 a month (CA$399); write to support@cleartrill.ai. US businesses that text from their Cleartrill number pay a one-time US$49 registration, included with a year ahead. Businesses in Canada pay in Canadian dollars; everywhere else, Mexico included for now, prices are in US dollars. Taxes are added at checkout.

Open in the app

Can I pay in my own currency?

In Canada, yes: a business in Canada sees and pays its prices in Canadian dollars. Everywhere else, Mexico included for now, prices are in US dollars, and your bank converts at its rate.

Open in the app

What happens after my included minutes and replies?

Cleartrill keeps answering. Each extra call minute is US$0.25 on Starter, US$0.20 on Standard and US$0.15 on Pro (CA$0.35, CA$0.25 and CA$0.20 in Canada), and each extra reply is US$0.10 (CA$0.13). Extras are billed once a month, for the month before, on your next invoice. Spam calls and calls under 15 seconds never count toward your minutes. Test calls don't either. Minutes and replies count from the first of each month, in your business's time zone; Your plan shows them as they add up.

Open in the app

How long is the free trial?

The free trial is 14 days and covers everything: calls, texts and the voices. No credit card is required, and you won’t be charged automatically. Usage limits are shown before you start.

Open in the app

Which calls count toward my trial?

Every call that reaches Cleartrill, even a hang-up, and your own test calls and line tests.

Open in the app

How many test calls can I make?

In any 24 hours: up to 3 test calls of 3 minutes at most, 5 line tests and 3 calls with a code, one call at a time. Your phone number can change once every 24 hours. Test calls and line tests count toward your trial.

What happens when my trial ends?

Unless you choose a paid plan, Cleartrill stops booking and answering questions. For the next 14 days your line still takes a short message from each caller and emails it to you, so you don’t lose a lead while you decide. Choose a plan in that time and everything comes back on the same number. Then your Cleartrill number is released; we email you the date. Turn off forwarding if you’re not continuing. On an Android phone, the Cleartrill app turns it off for you the next time you open it.

Open in the app

How do I pay or cancel?

On cleartrill.ai: sign in at cleartrill.ai/app with the same email and open Your plan. Starter, Standard and Pro are month to month, or paid a year ahead, and renew until you cancel. When you pay a year ahead, you tick a box at checkout to agree, and you get an email at least 30 days before it renews. Cancel any time in the billing portal; your plan runs to the end of the period you paid. You can move to a larger plan any time and pay the difference; a smaller plan, or a switch between monthly and yearly, starts when the period you paid ends. If you paid a year ahead, you can ask for a full refund within 14 days of paying, not after; other fees already paid aren't refunded, except where the law requires it.

Open in the app

Can I buy Your Voice on its own?

No. Your Voice, coming soon, is an add-on to any monthly plan: US$39 a month more (CA$39 in Canada). It's billed monthly, so it can't be added to a plan paid a year ahead. It needs your signed consent, and your assistant still says it's an AI.

Can I pay a year ahead?

Yes. Paid a year ahead, Starter is US$390, Standard US$890 and Pro US$1,490 (CA$490, CA$1,190 and CA$1,990 in Canada): two months free, with the same minutes and replies every month. It renews every year until you cancel: you tick a box at checkout to agree, and we email you at least 30 days before it renews. You can ask for a full refund within 14 days of paying; after that, it isn't refunded. For US businesses, the US$49 texting registration is included. Your Voice is billed monthly, so it isn't offered with a year ahead.

Privacy and safety

Who can see my calls and messages?

You, signed in to your account. Our team gets a copy of each email Cleartrill sends you, or only a notice when the email carries your callers' information or a sign-in code. We use it to keep the service running. Our team looks at your calls and messages only to run and support the service. We don't sell your data or use your calls to train AI models.

Is it okay to record calls?

It depends on where you work and your profession. Cleartrill's opening line tells callers the call is recorded and that they're speaking with an AI assistant, before they say anything. If you're unsure about your rules, ask your advisor. This isn't legal advice.

How long are my calls and messages kept?

90 days. Then each call (its recording, transcript and summary) and each text and WhatsApp message is deleted, and so is the voice provider's copy of the call. To delete a call sooner, open it in Calls and tap "Delete this call".

Open in the app

How do I get or delete my data?

In Settings on the web app (cleartrill.ai/app), "Export my data" downloads your records. "Delete my account" (type DELETE) cancels your plan, releases your number and deletes at once your calls, messages, appointments, customers, settings and any copy of your voice; the voice provider's copies of your calls are deleted too. We keep the record that you accepted the terms (version, language and date), without your email. To delete one call, open it and tap "Delete this call".

Open in the app

Why did Cleartrill call me with a code?

To confirm the phone is yours before your first test call to it. Answer, press 1, and type the 4-digit code you hear in the app; then your assistant calls you. We check once per phone. Didn't ask for it? Hang up, and never share the code.

My test didn't work. What now?

Read what the app says. "Cleartrill is answering your calls": it works, but every call goes straight to Cleartrill; tap "Make my phone ring first", or keep it that way. "Your voicemail answered": tap "Use 1 ring" and check again; if it still answers first, ask your phone company to turn off voicemail, or send every call to Cleartrill. "Your phone company answered our call with silence": check the code and try again, or ask your phone company; on a Mexican phone, have someone in Mexico call you and don't pick up: if Cleartrill answers, you're connected. "Your phone answered our test call": if that wasn't you, it was voicemail; on an iPhone, turn off Live Voicemail, then "Check it". "Not connected yet": your phone company didn't send the test call; tap "Try again", "Ask your phone company", or open "Other ways".
